Proctored Exams

If you require proctored testing for your course, you will need to coordinate the exam process with Online Learning Services before the academic quarter begins. The person you will need to contact is:

An email will be sent to all Online Learning Faculty asking for all the information that is necessary to add your exam into the exam reservation system such as:

  • Your full online course exam schedule
  • The date range your exam is available including the due date
  • The time limit of each exam
  • Whether or not the exam is closed or open book
  • Whether a calculator is allowed
  • Whether Scantron sheets or examination booklets are required
  • Whether your exam will require a group exam session

Please also include this information when you submit your exam to Online Learning.

Online Learning Provides Proctored Exam Procedures for Students

Proctored exam procedures for local and remote students are found in the Online Learning Student Community in myCourses. At this site, students can go to the section under Content titled “Review Proctored Exams Procedures”. For remote students and those who cannot get to campus, procedures and an application for setting up a proctor are available. For local students, this site has information on the proctoring services that Online Learning provides. At the beginning of the quarter, we advise our students to review the contents of the Online Learning Student Community so they can prepare for their online course.

Faculty need to notify their students if proctored testing is required. If you require proctored testing, it is very important that you also inform your students at the beginning of the quarter about setting up a proctor for the course exams and quizzes and post the proctored exam schedule in your syllabus. You can refer them to the Online Learning Student Community, as indicated above.

Online Learning Needs Lead-time When Sending Exams to Proctors

To ensure that remote proctors receive exams in time, we request that instructors submit exams at least five days to one week before the designated time period in which students are allowed to take the test. Students and their proctors are located throughout the U.S. and internationally. We rely on email and UPS to send out the majority of exams. In some instances, we will use fax. We understand that each course is different, and the frequency of exams and quizzes varies from course to course. We will do our best to coordinate a schedule with you for sending exams that will work for everyone: faculty, students, proctors, and Online Learning Services.

Group Exam Process for Local Students Only

Group exam sessions through Online Learning are provided for students in the Greater Rochester area who are enrolled in online distance courses that require proctored testing. This includes sections 90, 91, or other "90" online sections that are serviced through Online Learning Services.

Online Learning provides a proctor for all online courses that have group exams. Instructors need to supply Online Learning with the appropriate number of exams for the group session. Instructors also need to supply any additional testing materials such as Standardized Test Forms (Scantron sheets), examination booklets, etc.

Students may view the exam information such as time, date, location, and exam check-in procedures on the exam reservation system.

Room Availability Changes Each Quarter

Online Learning Services reserves exam rooms through the Registrar's office. From quarter to quarter, the number of rooms and their availability may vary during the week. We do our best to have a room available Monday-Friday in the evenings from 6pm-10pm. Instructors must confirm that space is available during the quarter before informing students that Online Learning will proctor exams. We may not have a room during the time or day an instructor wishes to hold their exam or, another instructor may have already scheduled their exam during the same time frame.

Staffing for Proctored Group Exams

Trained staff members of Online Learning and the Educational Technology Center serve as group exam proctors. One proctor is assigned to each group exam session. Proctors are given a student reservation list to confirm who will be present at the group exam. Proctors check each student's RIT ID or other form of picture ID before the exam is given to them. Each exam is in an exam envelope which indicates the exam rules. The proctor reviews these rules with the students and has them read and sign at exam check-in. Proctors notify students when exam time has ended and collect all exams at the end of the exam session. Proctors drop off all completed exams to a secured location at the Online Learning Services office.

Student Reservation and Procedure

Students need to reserve a seat through Online Learning Exam Reservation System at least three (3) working days prior to the scheduled group exam. Students must bring their RIT ID or another form of picture ID. The student will not be given the exam unless they present a suitable form of identification to the proctor. If a local student cannot take the exam during the stated exam period they must notify the instructor to discuss the possibility of scheduling a make-up exam session on the exam reservation system. Online Learning requires an email from the instructor granting permission for the student to take the exam outside of the exam period, whether it is early or late.
